Swimming club software for UK competitive clubs
Good swimming club software keeps a competitive club's members, coaching, messages, galas, safeguarding records and money in one system that any volunteer can pick up. For a UK club it also has to fit the way British swimming runs: membership of a home-nation governing body such as Swim England or Swim Wales, Hy-Tek meet files, DBS or PVG checks, Wavepower safeguarding, and fees collected by Direct Debit.
This page sets out what that looks like in practice, the questions worth asking any supplier, and how Olympus Swim approaches the job.
Why most clubs end up running on eight different things
Most competitive clubs did not choose their setup. It grew. Session plans sit in Word or Excel. Fees are chased by email. Squad news goes out through a messaging app with WhatsApp groups underneath it. Galas run through Hy-Tek and a spreadsheet. DBS dates live in someone's inbox. The finance picture lives in the treasurer's head.
It works, in the sense that swimmers get in the water. It works because two or three people hold the whole club in their heads and give it more hours than anyone will ever thank them for. When one of them steps down, the club loses a volunteer and years of knowledge that was never written anywhere a successor could find it.
That is the real problem club software should solve: a club that depends on a few people's memory and goodwill.
What club software should cover
A competitive club has seven jobs that run every week. Software earns its place when it handles all seven from one set of data, so a change made once is a change made everywhere.
- Members and squads: swimmers, parents, coaches, officials and committee in one record, with squads, waiting list and movement up the pathway.
- Registers: attendance taken on a phone at the poolside, in under a minute, with medical notes and emergency contacts to hand.
- Coaching: session plans, a shared session library, the coach rota, cover requests and coach hours. This is the job most software leaves to Word documents and group chats.
- Messaging: squad chats, coach-to-parent messages and club announcements, inside the same system as the member records, with an audit trail the welfare officer can read.
- Galas: entry windows, eligibility, Hy-Tek entry files, results and personal bests that update after every meet.
- Compliance: DBS renewals, coach qualifications, policies with acknowledgements, and a record of who changed what.
- Finance: squad fees, invoices, Direct Debit, and a clear view of what each squad costs and earns.
If a system covers four of these, the club runs the other three somewhere else, and the knowledge splits again.
Questions to ask any supplier
These are the questions committees ask once they have been caught out before. A good supplier answers each one plainly.
- Where is our members' data hosted, and is it encrypted in transit and at rest?
- Who at your company can see children's records, and is every access logged?
- Can a coach take a register on a phone at the poolside, including with a poor signal?
- Can a new treasurer or membership secretary use it within a week, without training?
- Can a coach send a private message to an under-18 swimmer, outside the view of parents and the welfare officer? (On Olympus Swim the answer is no.)
- Does it produce Hy-Tek entry files and read results back in?
- Do parents need to download an app, or does it run in a browser?
- Is the coaching side included, or sold as an add-on?
- If we leave, how do we get all of our data out?
- What happens if the person we deal with is unavailable?
The last two matter more than any feature list. A club's data belongs to the club.
Management or development
Most club software is built for the committee: membership, invoices, entries. That work matters and has to be done well. But a club is mostly its coaching and its people, and the coaching side of club life usually gets nothing at all.
Olympus Swim calls itself a club development platform for that reason. The administration underneath is built to the same standard, and the coach's experience is treated as equal to the committee's. The committee holds the budget and needs to defend every decision at an AGM. The coach runs the club day to day and decides whether a system actually gets used. Software that serves only one of them ends up half used.
How Olympus Swim approaches it
Olympus Swim is built on three ideas.
One system, not seven. Members, registers, messaging, session planning, galas, compliance and finance sit under one login with one set of data underneath. When a membership secretary steps down after four years, the club keeps everything she knew.
Simple enough that anyone can run it. A coach takes a register at 5:45am in under a minute. A treasurer raises a month of invoices in one action. A parent finds what they need without emailing anyone. A new volunteer is useful in a week, not a season.
Clear enough to show the club what it needs to know. Squad income sits against squad coaching and pool costs. Attendance shows a swimmer drifting before they leave. DBS renewals are visible before they lapse, not after. None of it decides for the club. It means the club is no longer deciding blind.
What is live today covers all seven jobs above: members and squads, poolside registers, session builder and library, coach rota, cover and hours, safeguarding-compliant messaging, gala entries with Hy-Tek files and personal best tracking, DBS and policy tracking, invoices, Direct Debit and squad finance. Two integrations are in development and not yet live: rankings pulled from Swim England's own data, and SportSystems meet entries.
The platform is hosted in the UK, encrypted in transit and at rest, and runs in any browser on a phone or a laptop. There is nothing for parents to download.
Who it suits, and who it does not
Olympus Swim is built for UK competitive clubs affiliated to their home-nation governing body, with squads, regular galas, a volunteer committee and more than one coach. Clubs with several coaches and squads feel the coaching and finance sides most.
It is not a learn-to-swim booking tool or a pool management system. If your club only needs messaging and fee collection, a simpler tool may be enough, and that is a fair choice.

Common questions
What is a club development platform? A club development platform runs a swimming club's administration and also supports its coaching and its decisions. Olympus Swim covers membership, registers, messaging, galas, compliance and finance, plus session planning, coach rota, cover, hours and squad-level finance.
Does Olympus Swim work for clubs in Wales and Scotland? Yes. It is built for UK competitive clubs. It was built in Wales, and nothing in day-to-day use depends on which governing body a club belongs to.
Do parents need to download an app? No. Olympus Swim runs in the browser on a phone, tablet or computer, and is fully usable on mobile.
Where is our data stored? The primary database is hosted in the UK. Data is encrypted in transit and at rest, each club's data is kept separate, and people only see what their role needs.
How do we move our existing data across? Export your current membership list, or start from a template we provide. We support the import until your members are across, then you invite parents in.
Can we switch mid-season? Yes. Onboarding works from your current membership list, so you do not need to wait for a new season.
