Collecting swimming club fees by Direct Debit
Direct Debit lets a club collect monthly fees automatically from each family's bank account, on a date the family knows in advance. For the treasurer it ends the monthly round of chasing and matching bank transfers to names. For families it is protected by the Direct Debit Guarantee. Moving a club onto it takes a clear announcement, a start date, and a plan for the families who prefer to pay another way.
Why clubs move away from bank transfers and standing orders
When families pay by bank transfer or standing order, the money arrives on different dates with references that rarely match. Someone has to match each payment to a family, spot who has not paid, and work out who changed their amount when the fee went up. Standing orders in particular keep paying the old fee until the family changes them.
With Direct Debit, the club collects the amount actually due. When the fee changes, the collection changes with it, after notice to the family.
What the Direct Debit Guarantee means for families
Every Direct Debit in the UK is covered by the Direct Debit Guarantee. Families are told in advance of the amount and date, and of any change to them. If an error is made they are entitled to an immediate refund from their bank. They can cancel at any time by contacting their bank. Including this in your announcement answers most parents' concerns before they ask.
How to move families across
- Decide the collection date. Early in the month suits most families. Avoid dates near school holidays if your club pauses.
- Announce it with a reason: fees arrive on time, the treasurer spends less time chasing, and fee changes no longer depend on each family updating a standing order.
- Explain the Guarantee in one short paragraph of plain words.
- Set a switch-over date. Give families a few weeks to set up their mandate, and ask them to cancel any standing order once the first Direct Debit has been taken.
- Keep another route open. Some families will not use Direct Debit. Accept card or another method and record their payments against their account.
- Follow up gently. A personal message to families who have not set up a mandate works better than repeated group reminders.
What changes for the treasurer
For every family on a mandate, payment settles against their invoice automatically. Nobody matches transfers to names. The treasurer's job shifts from chasing payments to looking at a short list of exceptions: failed collections, families paying another way, and anyone in arrears.
How Olympus Swim handles it
Olympus Swim collects monthly squad and membership fees by Direct Debit or card through the platform. Invoices are raised for the month in one action, and for families on a mandate the payment settles against the invoice without any manual matching. Overdue balances show on the finance dashboard, and payments made another way are recorded against the family's account. Read more about squad finance and setting squad fees.
Common questions
Is Direct Debit safe for parents? Yes. Every UK Direct Debit is covered by the Direct Debit Guarantee, which gives an immediate refund from the bank if an error is made, and families can cancel at any time.
What if a family will not use Direct Debit? Accept another payment method and record it against their account. A small number of exceptions is manageable once most families are on a mandate.
What happens when we change our fees? With Direct Debit, the club collects the new amount after notifying families. Standing orders, by contrast, keep paying the old amount until each family changes them.
When should we collect? Pick one date early in the month and keep to it. Families budget around a predictable date.
