Club development platform

Other platforms manage your club. Olympus Swim develops it.

Administration, coaching, messaging and gala management, brought into one system that feels like it is helping, not one more thing to manage. Less time chasing, more time on what the club is actually there for.

Built in Wales, made for the UK. Live now, onboarding clubs across the UK.

The reality today

Right now, your club lives in eight different places.

Session plans sit in Word or Excel, fees are chased over email, club messaging runs through a separate app with squad WhatsApp groups underneath, and galas are run through HyTek and a spreadsheet. Compliance is tracked, when it is tracked at all, in someone's inbox.

None of it joins up, so nothing ever quite feels finished. The knowledge lives in a few volunteers' heads, and when they step down, the club starts again from nothing.

Olympus Swim brings it into one place, built around how a club actually runs, not how software assumes it should.

The platform

One place to run the whole club.

Everything the committee, coaches and parents need, in one system that keeps the club's knowledge in the club, not in one person's head or a login nobody remembers.

Club administration, anywhere

Members, squads, registers, roles and permissions in one place, fully usable on mobile, not a cut-down version. Registers work poolside on a phone, signal or not, with parents and committee on the same system.

Squad management

Move swimmers along the pathway and see the whole programme, from waiting list or development squad through to performance.

Messaging that is safe

Club and squad communication that lives inside the same system as your members and records, with a safeguarding-compliant audit trail, rather than in a separate app that sits apart from who is in which squad.

Gala management

HyTek entry export, results import and personal best tracking updated after every meet, without the spreadsheet.

Payments and squad finance

Collect fees automatically by Direct Debit, so the treasurer stops dreading fee season and a missed payment doesn't go unnoticed. Underneath, a clear picture of what each squad costs and earns, so you know which ones are quietly running at a loss well before the AGM, not after.

Compliance and DBS

DBS tracking with renewal alerts, a policy hub with acknowledgements, coach qualifications and a governance audit log. Nothing expires quietly on someone's desk.

Inside the platform

What committees and coaches actually see.

Built for coaches

Built around coaching, because that is where club life is actually lived.

Plan sessions with less friction, notice when a swimmer needs support, and keep coaches backed by the club rather than carrying it alone. Build a session once, then reuse and adjust it as the season moves, and slot it straight onto the timetable when it's ready.

Why Olympus Swim

A club is its coaching and its people.

So that is what we build around first. The admin underneath is built to the same standard, not an afterthought.

One thing to check, not five.

So the club runs on a system, not on memory and goodwill.

Useful from the first week.

New to the committee this year? You should not need a season to catch up.

Sees what you could not before.

Squad by squad, the numbers finally make sense, so you can see which one is running at a loss before it becomes a problem, not after.

A quiet signal has somewhere to go.

Coaches and committee members with a duty of care can see wellbeing patterns as they emerge, alongside your existing safeguarding process, not instead of it.

None of this decides for the club. It just means the club is no longer deciding blind.

Why it exists

Built by someone who has stood where you're standing.

I built Olympus Swim because I have been on every side of a swimming club. Long before I coached, I raced at the top of the sport myself, a European Youth Olympic champion and British age-group record holder over 1500m freestyle, so I know what it takes from a swimmer before I ever ask it of a club. I have since coached across Wales and England for over ten years, including as Head Coach at Swansea Aquatics, and sat alongside club committees throughout.

I have also seen what the admin does to the people who keep a club running. Good people hesitate to take a committee role at all, because the scale of it looks overwhelming. The ones who do step up too often burn out before the club gets any stability from them, and the same happens to good coaches buried in paperwork that has nothing to do with coaching.

Every platform I tried was built for the committee. None of them protected the coaches. So that is the gap we are building to close, by taking enough of that weight off these roles that the right people will take them on and stay in them.

What's coming

Built to keep going.

The platform doesn't stop at what's live today. Here's some of what's already in motion.

In development

Swim England Rankings

Rankings pulled directly from Swim England's own data, once membership API access is in place, so times update themselves.

In development

SportSystems compatibility

SportSystems meet entries, covering the higher-level competitions clubs currently manage by hand.

Getting started

Up and running in minutes, not seasons.

Switching over is built to be quick and painless, whichever system or setup you're currently using.

Export or start from a template

Export your current membership list, or start fresh from a template we provide.

Import, with support

The import itself is simplified, and we stay with you through it until your members are across.

Invite parents in

Send the invite once you're in, and parents bring themselves onto the platform from there.

Questions

Common questions, answered plainly.

Straight answers to the things committees usually ask first.

Is this only for big or elite clubs?

Both, honestly. Bigger clubs with several coaches and squads feel the finance and admin side the most. Smaller clubs without full-time staff get the other half of the same benefit, less that depends on one volunteer remembering everything, and a simpler handover when that volunteer eventually steps back.

We use several different tools already, will switching be painful?

It's built to be simple, and you're not left to work it out alone. Export your current membership list, or start from a template, and we support you through the import until you're up and running. See Getting Started above.

How does the squad finance feature actually work?

Each squad's fees and costs are tracked separately, so the committee can see which squads are covering themselves and which need a closer look, before it becomes an AGM surprise.

What about safeguarding and DBS compliance?

DBS renewal alerts, a policy hub with acknowledgements, and a full governance audit log are built in, so nothing expires quietly on someone's desk.

Is our data secure?

Yes. The platform is UK-hosted and encrypted in transit and at rest, with role-based access so people only see what their role needs.

Do parents need to download an app?

No. Everything runs in the browser, on desktop or phone, so there's nothing to download or update, and it's fully usable on mobile, not a cut-down version.

Does the wellbeing feature diagnose or flag issues automatically?

No. It's a coaching-insight tool, not a clinical or welfare-monitoring system. It surfaces what's visible to a coach or committee member so it isn't missed, and it works alongside your existing safeguarding process, never instead of it.

We're mid-season, is now a bad time to switch?

No. Onboarding works from your current membership list, so you don't need to wait for a new season to start using it properly.
